Problem

Company Context

TaskFlow is a B2B SaaS work-management platform used by 25,000 small and mid-sized teams for project tracking, collaboration, and workflow automation. The company has strong top-of-funnel growth, but product leadership believes the team is inconsistent at turning user feedback into roadmap decisions.

Problem

Over the last two quarters, TaskFlow collected feedback from support tickets, NPS surveys, sales calls, app-store reviews, and customer interviews, but only 12% of tagged feedback items were reviewed in roadmap planning. Teams often react to the loudest enterprise customer or the most recent complaint rather than a structured view of user needs. As a result, feature adoption is uneven: 3 of the last 5 launches had adoption below 20% after 90 days, and customer satisfaction for onboarding dropped from 42 to 34 NPS.

The CPO asks you to design a repeatable process for incorporating user feedback into product development so the team can better identify real user problems, prioritize the right opportunities, and close the loop with customers.

Deliverables

  1. Define how you would collect, organize, and synthesize feedback across channels.
  2. Explain how you would distinguish signal from noise and decide which feedback should influence the roadmap.
  3. Propose how feedback should be incorporated into discovery, prioritization, development, and post-launch evaluation.
  4. Identify the trade-offs between customer responsiveness, strategic focus, and engineering capacity.
  5. Define success metrics for the new feedback process.

Constraints

  • You have 1 product ops manager, 4 PMs, and limited analytics support.
  • The process must be implemented within one quarter.
  • No major new tooling purchase is approved; assume you can use existing CRM, support, survey, and analytics systems.
  • Engineering leadership will only support changes that do not materially slow the current release cadence.
